What Happens Under the Hood: A Technical Walkthrough

Understanding how AI Migration processes your data can help you prepare your files and set expectations for the migration experience.

Step 1: File Parsing and Structure Detection

When you upload an Excel file, the AI first analyzes the structure of your spreadsheet. It identifies header rows, detects whether you have multiple sheets (for example, one sheet for animals and another for cages), and determines the data type in each column. This analysis handles common real-world messiness: merged cells, inconsistent header naming, blank rows used as separators, and mixed data types within a single column.

The AI recognizes that a column labeled "Tag #" in one lab means the same thing as "Animal ID" or "Ear Tag" or "Mouse Number" in another. This flexibility comes from training on the patterns used by dozens of different labs, each with their own spreadsheet conventions.

Step 2: Field Mapping and Confidence Scoring

After detecting your spreadsheet structure, the AI maps each column to the corresponding Moustra field. Each mapping receives a confidence score. High-confidence mappings (for example, a column clearly labeled "DOB" containing dates) are applied automatically. Lower-confidence mappings are flagged for your review.

The preview screen shows you every mapping, so you can verify that the AI correctly identified which column is the animal ID, which is the genotype, which is the cage number, and so on. You can override any mapping before proceeding. This review step ensures that even unusual spreadsheet layouts are handled correctly.

Step 3: Data Validation and Cleanup Suggestions

Before importing, the AI scans for data quality issues that could cause problems downstream. Common findings include:

Duplicate animal IDs that would create conflicting records.
Date format inconsistencies where some entries use MM/DD/YYYY and others use DD-Mon-YY.
Missing required fields such as sex or strain for a subset of animals.
Orphaned references like cage numbers that appear in the animal sheet but not in the cage sheet.

For each issue, the AI suggests a resolution. Duplicate IDs can be suffixed with a distinguishing marker. Date formats can be standardized. Missing fields can be populated with a default value or flagged for manual review after import. You decide which suggestions to accept before the import proceeds.

Step 4: Import and Relationship Linking

The actual import creates records in Moustra's database with all relationships intact. Animals are linked to their cages. Litters are linked to their parents. Strains are linked to their associated genotypes. This relational linking is what distinguishes a proper migration from a simple CSV dump.

After a spreadsheet-based workflow, many labs discover that their data had implicit relationships that were never formally recorded. The animal sheet might have a "Dam" column and a "Sire" column, but the pedigree connections were never drawn. Migrating from Excel Spreadsheets

This is the most common migration path. Labs that have tracked their colony in Excel for years often have spreadsheets that have evolved organically: columns added over time, formatting changes from one lab manager to the next, and notes embedded in merged cells or comment fields.

Migrating from SoftMouse

Labs leaving SoftMouse can export their data as Excel or CSV files using SoftMouse's built-in export tools. Once exported, those files are uploaded to Moustra's AI Migration just like any other spreadsheet. The AI recognizes SoftMouse's export format and maps fields accordingly.

Key data that transfers cleanly includes animal records, cage assignments, genotype data, breeding pair history, and strain information. Pedigree relationships that were maintained in SoftMouse are reconstructed in Moustra based on the parent ID fields in the export.

Migrating from mLIMS

mLIMS exports are also supported. Since mLIMS combines colony management with broader LIMS functionality, the export files may contain sample-related data that is not relevant to colony management. AI Migration identifies and ignores the non-colony fields, importing only the animal, cage, strain, and breeding data that Moustra needs.

Consolidating Data from Multiple Sources

Some labs have colony data scattered across multiple spreadsheets maintained by different researchers, plus a shared drive with historical records from a former lab member. AI Migration can process multiple files sequentially. Upload the first file, review and import, then upload the next. Moustra handles deduplication by flagging any animal IDs or cage numbers that already exist in the system, letting you decide whether to merge, skip, or create new records.

After Migration: Verifying Your Data

Once the import completes, Moustra sends a confirmation email with a summary of what was imported: the number of animals, cages, strains, and litters created, along with any records that were skipped or flagged for review.

Spot-check 10 to 15 animal records by comparing them against your original spreadsheet. Verify that genotypes, dates of birth, sexes, and cage assignments transferred correctly.
Check pedigree connections by navigating to a few animals and confirming that their parents and offspring are correctly linked.
Review strain records to ensure that strain names, background information, and associated genotypes are complete.
Test a Cheese AI query to confirm that the imported data is queryable. Ask something like "How many active breeding pairs do I have?" and verify that the answer matches your expectations.

This verification typically takes 10 to 15 minutes and gives you confidence that your migration is complete and accurate.

Common Questions About AI Migration

Does AI Migration overwrite existing data? No. If you already have records in Moustra, the migration creates new records alongside them. It flags conflicts (such as duplicate animal IDs) for your review rather than overwriting anything.

Can I migrate partial data? Yes. If you only want to import your animal and cage records but not your historical litter data, you can upload a file containing only the relevant sheets or columns. AI Migration imports what you provide and leaves everything else untouched.

What file formats are supported? Currently, AI Migration supports Excel files (.xlsx and .xls). CSV support is planned for an upcoming release. If your data is in a different format, converting it to Excel in any spreadsheet application is typically straightforward.
